After-Hours Answering & Message Escalation
Our human team answers after-hours calls, records messages, handles approved scheduling requests and routes urgent calls to your on-call provider under your practice's escalation protocol. The team follows written instructions and documents handoffs, giving the next business-day staff a clear follow-up list. Coverage hours and routing channels are agreed for your account.

Book Discovery CallHow it works with your practice
The Team Lead learns your phone setup, coverage schedule, on-call roster and escalation protocol first, then builds written and video SOPs you keep. The Primary MVA follows the approved answering workflow; the Backup MVA trains on the same scripts and contact sequence. Work occurs in your phone system and authorized EHR or practice-management tools. Payer portals are used only if related administrative tasks are separately included in your scope.
Agree on the reporting cadence and handoff before coverage starts: a shift summary, recorded messages, unanswered provider contacts and next-day scheduling tasks. Define how a roster update is approved and distributed, including who confirms that the team has the new contact details. A message marked as sent should remain distinguishable from an acknowledgment. Your practice decides the action required if a contact does not respond.
Who it's for
Mental health clinics and therapy practices can use consistent scripts for after-hours appointment requests and message relay. Group practices can define one answering queue with different on-call contacts by provider or location.
Mental health clinics, therapists and counselors and group practices.
What stays with your team
Your providers make the patient decisions and supply the response; your practice approves escalation rules and the on-call roster. We follow those instructions, record the handoff and organize follow-up.
Security and HIPAA
Our HIPAA-trained team works through HIPAA-compliant processes, with a BAA with every client. Your practice authorizes system access and defines permitted actions before work begins. Review our security and compliance information when planning access and communication rules.
For example, an evening caller can leave a scheduling request for the next-day queue. A call requiring the on-call provider follows the separate contact sequence your practice approved. Recording the request, contact attempt and acknowledgment separately helps your office see what still needs follow-up when it reopens.
